How to recover deleted emails from Outlook and OWA

You can often quickly and easily recover an accidentally deleted item from your Outlook or OWA Email Exchange mailbox. When an item is deleted, such as an email message, calendar appointment or entry, contact, or task; the first place to look for it is in the Deleted Items folder. If it is no longer there, the Recoverable Items folder, which can be accessed using the Recover Deleted Items tool, would be the next place to look into.

If a mail folder has been deleted along with all of its contents/messages, you can recover this if it is still in your Deleted Items folder. On the other hand, a permanently deleted folder is no longer recoverable. But, you can still recover the messages that were in a permanently deleted folder.

Follow the instructions below depending on your Outlook version to recover deleted emails.

Recovering Deleted Emails that are still in the Deleted Items folder on Outlook 2010/2013/2016

When an email message, a contact, or a calendar appointment/task is deleted, it is moved to the Deleted Items folder of your mailbox. If the deleted item is there, follow the instructions below to recover it:

Step 1. From the email folder list on the left side menu of your Outlook mailbox, click Deleted Items.
Step 2. Right-click on the message or item you want to recover. Click Move then select Other Folder for Outlook 2010/2013/2016 or select Move to a different folder for the Outlook Web Access or OWA.
Step 3. Click Inbox to move the message to your inbox, or select the folder where you want to move the message into; then click OK for Outlook 2010/2013/2016 or click Move for OWA.
For Outlook 2010/2013/2016, you can also select Calendar, Contacts, or Tasks when recovering a calendar item, contact, or task; then click OK.
For OWA, you can select Move to Calendar, Move to Contacts, or Move to Tasks when recovering a calendar item, contact, or task.

Note: If you deleted a folder, it is moved to the Deleted Items folder and appears as subfolder. To recover this along with all the items it contains, right-click the deleted folder, click Move Folder, then select a folder to move it to.

Congratulations! You have just recovered the deleted items from your deleted items folder on Outlook 2010/2013/2016 or OWA.

Recovering Deleted emails that are no longer in the Deleted Items folder on Outlook 2010

If the deleted item is no longer showing in the Deleted Items folder, you will need to look for it in the Recoverable Items folder. This is a hidden folder where items are moved when one of the following is done:

  • Deleting an item from the Deleted Items folder.
  • Emptying the Deleted Items folder.
  • Permanently deleting an item by selecting it and pressing Shift + Delete.

Follow the instructions below to recover items from the Recoverable Items folder:

Step 1. On Outlook, click the Folder tab then click the Recover Deleted Items icon.

Note: If the Recover Deleted Items icon is grayed out or is not there:

• You might be on offline mode. Switch to online mode first.
• You might not be using an Exchange account. If you are using Outlook to connect to an IMAP or POP account instead of an Exchange account, you will not be able to recover a permanently deleted item or an item that has already been deleted from the Deleted Items folder. If you are connected to an IMAP account, you might still be able to recover items from the Trash folder.

Step 2. Select the item you wish to recover then click Recover Selected Items.

Note: The items you recover from the Recoverable Items folder are automatically moved to the Deleted Items folder. So after recovering the item, you will need to search for it in the Deleted Items folder and move it to another folder.

Congratulations! You have just recovered the deleted items from your recoverable items folder on Outlook 2010.

Recovering Deleted emails that are no longer in the Deleted Items folder on Outlook 2013/2016

Follow the instructions below to recover items from the Recoverable Items folder:

Step 1. From the email folder list on the left side menu of your Outlook mailbox, click Deleted Items.
Step 2. Make sure the Home tab is selected, click the Recover Deleted Items From Server icon.

Note: If the Recover Deleted Items From Server icon is grayed out or is not there:

• You might be on offline mode. Switch to online mode first.
• You might not be using an Exchange account. If you are using Outlook to connect to an IMAP or POP account instead of an Exchange account, you will not be able to recover a permanently deleted item or an item that has already been deleted from the Deleted Items folder. If you are connected to an IMAP account, you might still be able to recover items from the Trash folder.

Step 3. Select the item you wish to recover then click Recover Selected Items, then click OK.

Note: The items you recover from the Recoverable Items folder are automatically moved to the Deleted Items folder. So after recovering the item, you will need to search for it in the Deleted Items folder and move it to another folder.

Congratulations! You have just recovered the deleted items from your recoverable items folder on Outlook 2013/2016.

Recovering Deleted emails that are no longer in the Deleted Items folder on OWA

Items that are removed from the Deleted Items folder are recoverable within 30 days. Emails that are in the Junk Email folder are automatically removed after 14 days and is not recoverable. Also, messages deleted from child accounts are not recoverable. This is to ensure that messages deleted by parents stay permanently deleted.

Note: You must sign in to your OWA account at least once every 365 days to keep your account active. After 365 days of inactivity, your email account will be permanently deleted and will no longer be recoverable.

Follow the instructions below to recover items from the Recoverable Items folder:

Step 1. From the email folder list on the left side menu of your Outlook mailbox, right-click on Deleted Items then click Recover deleted items.

Step 2. Select the item you wish to recover and click Recover.

Note: The items you recover will be restored in their default location. This means:

• Messages go back to your Inbox.
• Calendar items go back to your Calendar.
• Contacts go back to your Contacts folder.
• Tasks go back to your Tasks folder.

Congratulations! You have just recovered the deleted items from your recoverable items folder on OWA.
