How to Create mail rules in Outlook

You can create inbox rules in Outlook to automatically execute specific actions on messages as they arrive, based on the criteria you create. For example, you can create a rule that can automatically move all mail sent by a particular contact into a specific folder.

Creating Mail Rules

Follow these instructions to create/manage your mail rules:

  1. Open your Outlook mailbox.
  2. Click on the File tab at the top left corner then click Manage Rules & Alerts.
  3. Click on New Rule.
  4. Select a Template and edit the Rule Description by clicking on the underlined value; then click Next if you still need to define the rule further or click Finish if done.
  5. Select which conditions you want to apply then click Next if you still need to define the rule further or click Finish if done.
  6. Select which actions you would like to take then click Next if you still need to define the rule further or click Finish if done.
  7. Select exceptions (if necessary) then click Next if you still need to define the rule further or click Finish if done.
  8. Specify a name for the rule. You can use the default rule name created or create your own to easily remember it.
  9. Select a setup rule option and review the rule description then click Finish.

Note: You can also create a rule directly from messages. Simply click on the message in the message list pane, then click Rules from the top menu bar and select Create Rule. Or right-click on the message in the message list pane, then select Rules from the list and click on Create Rule. The Rule Wizard window will appear once you click on Advanced Options.

Congratulations! You have just created new mail rules in Outlook.
