How to Configure DNS Records for Proper Mail Work on Email Exchange

When you have both your domain name and your email exchange hosting plan registered with us, your records for proper mail work have most likely been automatically configured for you. But to ensure that your settings have all been properly set, here are the basic records you need to check and configure for your emails to work.

Checking Your Name Servers

Before anything else, you will need to check whether you’re using the correct Name Server records for your hosting plan. Below is a list of records for your reference:

MX Record Configuration

An MX Record or Mail eXchange Record is a file that explains how an email should be delivered to the right address. The MX records for your Exchange plan should be set to the following:

MX Record for Exchange (AU):

MX smtp-uk.ds.network 10

MX Record for Exchange EU(UK):

MX smtp-uk.ds.network 5
MX smtp.ds.network 10

To update your MX record via Account Manager, follow the instructions found in the link below:

To update your MX record via Hosting Manager, follow the instructions below:

  1. Log in to your Hosting Manager.
  2. Under Email, click MX Entry.
  3. In the Destination field, enter the appropriate MX record.
  4. Click Add New Record once done.

To update your MX record via Exchange Manager, follow the instructions below:

  1. Log in to your Exchange Manager.
  2. Under System, click on the Domains icon.
  3. Select the domain name you wish to update records for.
  4. Click Edit DNS zone records then click Add record.
  5. Select MX from the drop-down list under Record Type.
  6. In the Record Data field, enter the appropriate MX record.
  7. Click Save once done.

Congratulations! You have now updated your MX records.

SRV Record Configuration

The SRV Record or Service Record indicates the location of a service using a specific destination port number and hostname. With the SRV Record you can easily set up your Exchange mail service on Microsoft Outlook. You no longer have to input your server settings as it is automatically detected. To fully maximise the Exchange 2016 features for autodiscover, the SRV Record should be properly set to the following:

To update your SRV record via Hosting Manager, follow the instructions below:

  1. Log in to your Hosting Manager.
  2. Under Domains, click Advanced Zone Editor.
  3. Select SRV from the drop-down list under Type.
  4. Enter the appropriate details for each field then click Add Record.

To update your SRV record via Exchange Manager, follow the instructions below:

  1. Log in to your Exchange Manager.
  2. Under System, click on the Domains icon.
  3. Select the domain name you wish to update records for.
  4. Click Edit DNS zone records then click Add record.
  5. Select SRV from the drop-down list under Record Type.
  6. In the Host offering this service field, enter the appropriate SRV record.
  7. Click Save once done.

Congratulations! You have now updated your SRV records.

SPF Record Configuration

The SPF or Sender Policy Framework is a system that allows you to specify servers and IP addresses that are authorized to send mail from your domain(s). This feature prevents you from sending outgoing spam messages. The SPF record can be automatically enabled via hosting manager or manually added as a TXT record via Account Manager and Exchange Manager. For the manual update, refer to the SPF record below:

To update your SPF record via Account Manager, follow the instructions below:

  1. Log in to your Account Manager.
  2. Click on Domains from the menu bar at the top of the screen.
  3. Click on the domain name you wish to update. If you have only one domain, you will be taken straight to the domain management page.
  4. Scroll down to the DNS Settings – Premium section, click the menu icon on the right and select Add Record from the drop-down menu.
  5. Select TXT Record from the drop-down menu and click Add.
  6. Enter the raw SPF record in the Text Record field.
  7. Click Update.

To update your SPF record via Hosting Manager, follow the instructions below:

  1. Log in to your Hosting Manager.
  2. Under Email, click Authentication.
  3. Scroll down to the SPF section and click Enable. This will automatically add your SPF record.

To update your SPF record via Exchange Manager, follow the instructions below:

  1. Log in to your Exchange Manager.
  2. Under System, click on the Domains icon.
  3. Select the domain name you wish to update records for.
  4. Click Edit DNS zone records then click Add record.
  5. Select TXT from the drop-down list under Record Type.
  6. In the Record Data field, enter your SPF record.
  7. Click Save once done.

Congratulations! You have now updated your SPF records.

Once you have ensured that all of these records have been configured with the correct data, your emails will work properly.
